Job Description
The Secretary manages student enrollment, maintains student attendance and academic records, banking and financial information, and every day office duties to support the students, families and staff.
A Day in the Life:
- Maintains permanent student records, enters Skyward data, and collects and distributes district enrollment records in order to comply with district and state requirements.
- Types and distributes weekly timesheets for staff, records students’ weekly productive/non-productive time, records credits earned, and prepares attendance reports for students and staff in order to manage attendance records.
- Types and distributes students’ academic schedules, records credits/grades in Skyward for report cards, transcripts, and permanent records, and maintains students’ permanent records in order to manage student academic records.
- Records student and district fees, balances bank statements, makes deposits, writes checks and keeps requisitions and records for CHSM in order to manage finances.
- Takes lunch count, sends count to PWS, and types menus for students/staff in order to manage the CHSM lunch program.
- Answers phones, greets guests, conducts school tours, advises students, completes mailings and orders supplies for students/staff for the purpose of operating an organized, friendly, and efficient office.
- Purchases items and sets up the reception table for graduates in order to prepare for CHSM graduations.
- Organizes orders, picks up and serves lunch for students/staff on speaker Thursday in order to provide a CHSM lunch.
- Maintains accurate attendance and financial records for the purpose of assisting with auditors.
- Prepares Skyward reports and updates and keeps current with Skyward training for the purpose of generating and maintaining district required records.
- Sets appointments, makes interview folders, and requests records of students in order to get new students enrolled.
- Maintains confidentiality as appropriate in order to comply with district, state and federal laws.
- Perform other duties as assigned for the purpose of ensuring the efficient and effective functioning of the office and building.

- Has a high school diploma.
- Accounting or bookkeeping
- Office experience is recommended.
- Attendance: Must maintain regular and acceptable attendance/punctuality as required by the Board of Education policies and regulations.
- Must have a cleared background check and current TB skin test.
Environment
- Can be a stressful mental environment while working with frequent interruptions.
- Generally the job requires 90% sitting and 10% standing/walking.
- Occasional lifting of boxes, as well as carrying, pushing, pulling, stooping, kneeling, and crouching. Fine finger dexterity is used.
