Job Description
This HR Generalist – Leave and Accommodations Analyst role focuses on coordinating and administering all types of employee leaves and workplace accommodations within a corporate and manufacturing environment. The position ensures full compliance with federal, state, and local leave and accommodation laws while partnering closely with HR, payroll, legal, and external vendors. You will serve as a key resource for employees, support the development of a leave administration function, and drive process improvements that enhance efficiency, accuracy, and employee experience.
Responsibilities
+ Administer all types of employee leaves, including FMLA, ADA-related leaves, Pregnant Workers Fairness Act (PWFA) leaves, state-paid family leaves, parental leaves, disability leaves, and personal leaves.
+ Ensure all leave processes comply with applicable federal, state, and local laws, as well as internal company policies and procedures.
+ Collaborate with HR partners, people leaders, and third-party vendors to provide a seamless and consistent leave experience for employees.
+ Partner with legal representatives, as directed, to maintain compliant leave and accommodation policies and protections.
+ Mentor and support team members involved in leave administration to strengthen strategies and improve overall performance.
+ Monitor and maintain shared HR or leave-related email inboxes, ensuring timely and accurate responses to inquiries.
+ Coordinate accommodation requests under the ADA and other applicable laws, working with employees, HR, managers, and external vendors to identify and implement reasonable accommodations.
+ Maintain thorough and accurate documentation of all accommodation requests, evaluations, decisions, and outcomes.
+ Stay current on federal, state, and local leave and accommodation laws and regulations, including FMLA, ADA, PWFA, and state-specific programs.
+ Ensure accurate tracking of leave data, including time away from work, related pay, benefits continuation, and state reimbursements.
+ Maintain accurate, confidential, and compliant records in accordance with HIPAA and other applicable legal requirements.
+ Prepare and distribute daily, weekly, monthly, and ad-hoc reports related to leaves and accommodations for various stakeholders, in coordination with leadership.
+ Identify and recommend opportunities for process improvement and efficiency through system optimization, standardized workflows, and streamlined procedures.
+ Collaborate with payroll teams to ensure accurate calculation and tracking of leave-related pay, benefits, and any applicable reimbursements.
+ Serve as a primary resource for employees by providing clear, consistent guidance on leave and accommodation policies, processes, and expectations.
+ Assist with the development and delivery of training materials and sessions for employees and managers to improve understanding of leave procedures and responsibilities.
+ Help maintain HR system procedures, user guides, and FAQs to enhance accessibility, clarity, and ease of use for employees and managers.
+ Assist in coaching and supporting new and existing team members, offering guidance on leave processes, documentation standards, and conflict resolution.
+ Foster collaboration across HR, payroll, legal, operations, and other functions to resolve leave- and accommodation-related issues efficiently.
+ Respond promptly and professionally to internal and external customer inquiries, ensuring a high level of service and follow-through.
+ Continuously seek ways to improve processes, tools, and communication to maintain high-quality standards and efficient operations.
+ Adhere to all company policies and procedures and ensure all work aligns with applicable legal and regulatory requirements.
Essential Skills
+ At least 4 years of human resources experience, specifically focused on FMLA and leave of absence administration.
+ Demonstrated experience administering FMLA, ADA, PWFA, state-paid family leave, parental leave, disability leave, and personal leave programs.
+ Strong knowledge of federal, state, and local leave and accommodation laws, including FMLA and ADA.
+ Hands-on experience with leave administration in a corporate and/or manufacturing environment.
+ Proficiency in Workday or similar HRIS systems for tracking leaves, accommodations, and employee data.
+ Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, for documentation, reporting, and communication.
+ Strong analytical skills with the ability to interpret data, identify trends, and support process improvements.
+ Excellent written and verbal communication skills, with the ability to explain complex leave and accommodation topics in a clear and empathetic manner.
+ High attention to detail and accuracy in documentation, recordkeeping, and reporting.
+ Ability to handle confidential and sensitive information in compliance with HIPAA and company policies.
+ Strong collaboration skills with the ability to work effectively with HR partners, managers, payroll, legal, and external vendors.
+ Customer-service orientation with a focus on providing timely, professional support to employees and stakeholders.
Additional Skills & Qualifications
+ Bachelor’s degree in human resources, business, or a related field is preferred.
+ Experience working as an HR Generalist with exposure to benefits administration and employee relations.
+ Experience supporting or mentoring team members in HR or leave administration functions.
+ Background in benefits administration, including coordination of disability and paid family leave programs.
+ Experience creating or updating HR procedures, user guides, FAQs, and training materials.
+ Demonstrated ability to identify and implement process improvements and system optimizations.
+ Strong conflict-resolution skills and the ability to navigate sensitive employee situations with professionalism and empathy.
+ Comfort working in a fast-paced environment that supports both corporate and manufacturing operations.
+ Interest in growing within an HR function, including potential opportunities for extended contracts or permanent roles, depending on performance and business needs.

Pay and Benefits
The pay range for this position is $27.00 – $28.00/hr.
