A Typical Work Day May Include:
- Answer incoming calls for the division, assist callers and transfer callers to appropriate destination.
- Answer public inquiries regarding division services, programs, and processes.
- Assist with ensuring that all members sign into the center
- Assist with providing visitors with tours of the center.
- Assist visitors with signing up and paying for activities, services, and programs, including My Active Senior.
- Sort and disseminate mail and relay messages to the appropriate person or division.
- Assists with mailings and correspondence to members, volunteers, and community partners.
- Greet visitors and provide assistance, as needed.
- Assists with preparation for meetings, including creation of agendas, packets and meeting minutes. File and maintain division files and correspondence in an orderly manner.
- Assist with maintaining office and center equipment.
- Schedule and set up conference and training rooms.
- Process, fax and scan documents as required.
- Assist with creation of activities, programs and reminders in My Senior Center for member registration and check in.
- Assists with answering calls for the Derby Dash, taking payment for ride cards and general public inquiries, as needed.
- Use the phone camera system to let people into the building.
- Assists with the creation of informational slides and content to be used in the center.
- Assists with daily tidying and cleaning of center (making sure coffee station is clean, coffee supplies stocked, cleaning wipes are stocked in classrooms and fitness rooms), tables wiped down.
- Assist visitors with membership application paperwork and enter that information into the My Senior Center database.
- Assist with data entry cleanup.
- Run monthly reports for reporting purchases.
- Collect funds in the form of cash, check or credit and enter into Incode.
- Organize and prepare purchase requests and forward to director.
- Track expenses and conduct cost analysis on purchases.
- Provide information for the annual division budget preparation.
- Assist Activity Coordinator with setting up and tearing down for events and activities, as needed.
