About the Role:
The Sales Coordinator plays a pivotal role in supporting the sales department by ensuring smooth communication and coordination between customers, sales, marketing, and other internal departments. This position is responsible for producing quotes, managing sales orders, tracking sales activities, creating reports, managing the client database (CRM), and facilitating efficient workflow in a fast-paced manufacturing environment. The Sales Coordinator will work closely with outside sales representatives to provide timely information and resolve any issues that may arise during the sales process. By maintaining accurate sales records and assisting with sales accounting, this role directly contributes to the company's overall success and growth. They act as a crucial link, ensuring both customers and the sales team have the resources and support needed, receiving timely service and information, and bridging the gap between sales and overall business operations. Flexibility in scheduling and effective multitasking are essential to meet the dynamic demands of the sales department.
Responsibilities:
- Coordinate daily sales activities and communicate effectively with sales representatives and customers to ensure timely order processing.
- Manage and process sales orders accurately using Microsoft Office products and internal sales systems.
- Support outside sales teams by providing necessary documentation & information in the form of documents, presentations, and/or sales sheets, producing quotes, scheduling appointments, and following up on customer inquiries.
- Maintain up-to-date sales records and assist with sales-related tasks to ensure accurate reporting.
- Plan, coordinate, and participate in sales team meetings. Including tracking KPIs, analyzing trends, preparing reports, creating agendas, meeting logistics planning, capturing meeting notes, and managing action-item follow-up.
- Adapt to a fast-paced work environment by prioritizing multiple tasks and managing time efficiently to meet deadlines.
- Attendance at trade shows as required by the Director of Sales to support interactions with leads and existing customers.
- Periodic monitoring and input of used equipment information, bi-weekly.
- On-site role based in Salina, Kansas
- Potential travel up to 25%
Minimum Qualifications:
- Proven experience as a Sales Coordinator or in a similar sales support role within a manufacturing environment.
- Proficient in Microsoft Office Suite, including advanced skills in Excel, Outlook, and Teams for communication, scheduling, and data management.
- Strong organizational and multitasking abilities to handle multiple sales orders and requests simultaneously.
- Excellent communication skills, both written and verbal, to interact with sales teams and customers effectively.
- Ability to work a flexible schedule to accommodate the needs of outside sales representatives and customers. Standard office hours will apply; however, flexibility during peak sales times will be required.
Preferred Qualifications:
- Experience with sales accounting and familiarity with financial reporting related to sales activities.
- Knowledge of outside sales processes and customer relationship management (CRM) software.
- Previous experience working in a fast-paced manufacturing industry setting.
- Demonstrated ability to be self-motivated, work independently, as well as part of a collaborative team.
