Description: Position Summary

The primary objective of this role is to coordinate outpatient diagnostic tests in collaboration with physician offices, patients, and hospital staff. This role plays a vital part in coordinating patient appointments across multiple departments while delivering excellent customer service. The ideal candidate is organized, communicative, and enjoys working in a fast-paced healthcare environment.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Schedule outpatient appointments, procedures, and diagnostic tests according to patient needs and provider availability.
  • Coordinate with patients to gather necessary information for scheduling, including insurance details, medical history, and preferred appointment times.
  • Communicate effectively with healthcare providers and clinical staff to ensure seamless coordination of patient schedules.
  • Utilize scheduling software and electronic medical records systems to input and manage appointment information accurately.
  • Confirm appointments with patients and provide necessary instructions, including pre-appointment preparations and arrival information.
  • Knowledge of procedures that require pre-certification
  • Assist patients with scheduling changes, cancellations, and rescheduling as needed, while maintaining flexibility to accommodate urgent requests.
  • Collaborate with other departments, such as billing and insurance, to verify coverage and obtain authorizations for scheduled procedures
  • Maintain confidentiality of patient information and adhere to HIPAA regulations in all communications and interactions
  • Provide excellent customer service to patients, addressing inquiries, concerns, and requests promptly and professionally
  • Attendance/Timeliness—Is on time for appointments, procedures, and work; meets attendance guidelines established by the Human Resources Department
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Previous experience in a healthcare facility or doctor’s office preferred
  • Excellent communication and interpersonal abilities
  • Excellent oral and written communication skills
