Job Description
Position Summary: The Permit and License Technician performs clerical and technical tasks related to processing and issuing permits, licenses, and planning/zoning cases. Provides courteous and efficient customer service, explains procedures, and assists the public with applications. Work requires attention to detail, accuracy, and professionalism in a fast-paced environment. Work confidentially with discretion.
Essential Functions
- Perform general reception duties including but not limited to email correspondence, process mail, greet and assist visitors, receive and route calls to appropriate department, operate and troubleshoot office equipment and software.
- Resolve customer issues in a professional manner that positively promotes the image of the city. Handles complaints tactfully.
- Perform routine to moderately complex administrative and clerical support duties including data collection and reporting, correspondence, and form letters as prescribed by department procedures.
- Maintain accurate digital and physical records. Scan, file, retrieve, maintain, transfer, store, archive and destroy department’s physical and electronic files in accordance with department record retention policy and relevant laws and regulations. Assist with open records requests.
- Process and issue permits, contractor licenses, business registrations; track status and renewals.
- Assist applicants with forms ensuring understanding of process and requirements. Examine for accuracy, completeness and compliance. Calculate fees, route applications for review and monitor application status.
- Compile data and prepare reports on permit and license activity.
- Support Planning and Zoning by preparing meeting packets, agendas, notices, and minutes.
Skills and Abilities
- Knowledge of City policies, procedures, and departmental operations.
- Knowledge of the use of personal computers, e-mail accounts, software programs such as Word and Excel and modern office practices and procedures.
- Ability to keep current with emerging technologies and apply this knowledge to daily activities.
- Must be detailed oriented and complete work timely and accurately.
- Communicate effectively and courteously both verbally and in writing.
- Able to establish and maintain effective and respectful working relationships with colleagues, superiors, other agencies, and the public.
- Skilled in handling confidential and personally identifiable information (PII).
Physical Requirements:
- Office Environment.
- Ability to perform sedentary physical work and ability to occasionally lift and carry up to 25 pounds.
- Ability to stand, walk, sit, bend, crouch, reach, ride and perform a variety of similar body movements.
- Possesses hand/eye/foot coordination adequate to operate office equipment including keyboard, and to operate a vehicle.
- Ability to talk and hear in person and by telephone.
- Ability to see and read materials, letters, documents, and computer monitors.
