Job Description Summary:
The Project Coordinator is a hybrid role with some project management and some administrative assistant duties. The coordinator assists a Project Manager or Project Director in coordinating all activities of a particular project; they provide administrative and project planning, setup, maintenance, and close-out support to the project leaders and the corresponding area. Other assigned duties may include community outreach, participant recruitment, qualitative/quantitative data collection, scheduling, clerical duties, data management, purchasing, event planning, website content management and organizational tasks. May be responsible for travel arrangements and procurement support activities.

Job Description:

Key Roles and Responsibilities:
  • Organizing project planning meetings, helping to define scope timelines, and deliverables
  • Taking and distributing project meeting minutes
  • Preparing materials for project meetings including agendas
  • Tracking milestones, and preparing reports for the DAI
  • Preparing project presentations
  • Organizing materials for projects
  • Managing the DAI calendar; and planning, scheduling, and organizing meetings for the Director
  • Procuring supplies and equipment
  • Making travel arrangements
  • Drafting and sending correspondence
  • Assisting the DAI in strategic planning activities
  • Performs job responsibilities in a safe and secure manner.
  • Ensure coordination of area work with other areas of KUMC to ensure integration and support of KUMC goals and objectives.
  • Develop, maintain and expand job-specific knowledge and skills to keep pace with industry changes and support the university's commitment to excellence and innovation.
  • May participate in relevant committees, task force, or other similar activities.
  • Maintain confidentiality of medical center, employee, and patient information. Handle sensitive data with discretion and in accordance with KUMC policies and legal requirements.
  • Maintain the highest standards of integrity, respect, professional conduct, and ethical standards.

Required Qualifications

Work Experience:
  • 4 years of experience with project coordination, time management and managing multiple task and priorities. Education may be substituted for experience on a year for year basis.
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Presentation experience.


Preferred Qualifications

Education:
  • Bachelor's degree in Business Administration, Health Administration, Project Management, Communications, or a related field.


Certifications:
  • Project management certifications, such as CAPM, PMP


Work Experience:
  • Experience with project management, administrative support, or event planning (internships or student roles count) .
  • Experience using project management tools.
  • Prior experience/exposure to research environments, academic institutions, or healthcare settings.
  • Experience with basic understanding of data science or AI concepts.
  • Experience with the ethical use of AI, and technology initiatives.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
