Medical Records Clerk General Description
The Medical Records Clerk is responsible for the maintenance of electronic medical records and chart organization, and greeting, instructing, and directing any incoming phone calls.

Medical Records Clerk Essential Duties
- Answer all patient phone calls in a prompt and professional manner and determines the nature of the call and transfer to the appropriate contact.
- Open and distribute the mail, while ensuring confidential information is unopened.
- Work in electronic patient messages assigned to the Health Information Management department. This includes classifying, labeling, attaching, and forwarding to the appropriate contact.
- Process all bar-coded/non bar-coded patient paperwork into the medical records system.
- Process all incoming records and medical record requests.
- Maintain various lists, such as the newborn screening list and transfer of care list.
- Attend meetings as required.
Medical Records Clerk Skills Required
- Ability to establish and maintain effective working relationships with staff, patients, and the public.
- Knowledge of HIPAA privacy rules and regulations.
- Excellent interpersonal, verbal, and written communication skills.
- Excellent customer service skills ability to effectively and respectfully interact with unsatisfied patients and coworkers.
- Ability to manage multiple tasks, work under pressure, and prioritize workload.
- Effective and efficient time management.
- Ability to follow written policies and procedures.
- Ability to work independently and use good judgement.
- Knowledge of standard office machines including copier, fax, multi-line phones, printers, scanners.
Medical Records Clerk Education and Experience
- High school diploma or equivalent required;
- 1 year experience in a medical office environment (not required but is beneficial);
- Demonstrates equal dignity and respect for others, and values character, effort, and ability in the workplace.
