As an Administrative Assistant, you will support the Warehouse Manager along with their direct reports and supporting departments to drive an efficient operation.

Primary Responsibilities:
  • Process incoming mail and packages daily, maintain physical files, and support managers and associates with administrative tasks, as required.
  • Verify invoice tracking information is entered into the MRP system prior to invoicing, then print, match, and check invoices against orders to identify and correct errors.
  • Maintain a daily shipment log, prepare and forward the Hashtag Report to Accounting, and file invoices/orders once completed.
  • Manage back orders by obtaining updated work order dates, updating the system, and reprinting documents as needed.
  • Provide back-up support to the logistics team as necessary by preparing supporting shipment documents and commercial invoices when required to support shipments.
  • Verify accuracy of vendor invoices by matching packing slips and purchase orders, ensure pricing matches system records, and route any changes for approval.
  • Code invoices, submit via Tungsten, scan/forward to Accounts Payable, follow up on delayed or unpaid invoices, and reconcile against the AP Ledger before filing.
  • Receive purchase orders in MRP system, prepare Incoming Inspection Sheets as needed, label and post received materials, and forward invoices to AP, when applicable.
  • Prepare and ship product catalogs as needed.
  • Prepare and distribute the daily backlog report, updating promise dates and notifying staff of changes.
  • Process returned goods (RMAs) by filing incoming requests, matching paperwork, submitting for system completion, logging completed returns, and returning to the requestor.
  • Log paper checks received, forward weekly, and notify designated staff with payment details and tracking information.
  • Other tasks as assigned by manager.


Required Skills:
  • Must have strong social and interpersonal skills to interact with internal and external customers.
  • Ability to prioritize many different tasks at once.
  • Ability to adapt to changes and requests from multiple requestors.
  • Must be detail oriented and able to pivot as needed in a fast-paced environment.


Required Education/Experience:
  • High School Diploma/GED equivalent or equivalent experience required.
  • A minimum of 2-4 years administrative assistant or similar experience required.
  • Intermediate Microsoft Office skills - including Word, Excel PowerPoint, and Outlook


Preferred:
  • Associate degree or higher degree in Office Technology, Administration, or Business-related discipline
  • Microsoft Office Specialist Certification or comparable computer certification
  • Familiarity with warehousing/manufacturing operations.
  • Familiarity with MRP systems a major plus (JD Edwards, AS400, Oracle, etc.)


Physical Requirements:
  • Ability to remain in stationary position or standing position for prolonged periods and alternate between
  • Ability to repeat gross or fine manipulation that may include the use of wrists, hands, and/or fingers.
  • Ability to wear Personal Protective Equipment (PPE), including, but not limited to, safety glasses, steel-toed or metatarsal-guarded shoes, and/or ear plugs, while working in an industrial and/or manufacturing environment.
  • Ability to constantly communicate with others to exchange information in person, via phone, or via use of computer.
  • Ability to occasionally lift, carry, push, pull, or move objects up to 25 pounds in weight in all directions.
  • Ability to occasionally reach overhead or at or below shoulder level.
  • Ability to occasionally stoop, crouch, or kneel.
