Job Description
You will play a vital role in supporting our preconstruction and estimating teams. This position is ideal for someone eager to grow in the construction industry while gaining hands-on experience in both bid management and office operations. In addition to coordinating bid efforts, you’ll assist with reception duties and help keep the office running smoothly. This is a dynamic role that requires strong organizational skills, attention to detail, and a willingness to pitch in wherever needed.
Key Responsibilities:
Gather and organize bid documents, drawings, and specifications from clients and online plan rooms
Distribute bid invitations and project details to subcontractors and suppliers
Track bid responses and maintain accurate bidder logs
Assist estimators with quantity takeoffs and bid submissions
Maintain subcontractor prequalification records and compliance documentation
Follow up with subcontractors to collect missing or incomplete information
Coordinate logistics on bid day to ensure timely submission of proposals
Administrative & Reception Support:
Answer incoming calls and direct them appropriately
Greet office visitors and provide a professional, welcoming presence
Order and maintain office supplies
Make coffee, set up and clean the conference room before and after meetings
Organize lunch orders for meetings or special events
Run occasional office errands as needed
Assist with general office tasks and company events
Required Skills & Qualifications:
High School Diploma or equivalent
Valid Driver’s License
Proficient in Microsoft Office, especially Excel
Strong organizational and time management skills
Ability to multitask and work in a fast-paced environment
Excellent attendance and punctuality
Willingness to learn and grow within the construction industry
