Job Description

Principal Duties and Responsibilities
Responsible for a variety of administrative duties supporting the activities of a busy research and development campus.
Coordinate department meetings, programs, and projects to ensure they meet timing, cost, and specific deliverables.
Act as a key power user / Google Guru for all systems and software used by department functions, assisting the team in leveraging technology to improve processes and projects.
Manage purchase orders, reconcile discrepancies with invoices, and follow up with external vendors as needed.
Serve as the subject matter expert and first point of contact for the Ariba purchasing and invoice processing system.
Coordinate with hiring managers for onboarding new employees.
Responsible for set-up and clean-up of refreshments for meetings.

Education and Experience
Minimum Requirements:
Associate’s Degree
2+ years of relevant experience

Preferred Requirements:
Bachelor’s Degree
Previous experience in coordinator and/or project coordination roles
Project management skills, including organization, planning, and execution
2+ years of experience working on a multi-building corporate office campus

Knowledge, Skills, and Abilities
Extensive experience using MS Office (Word, Excel, PowerPoint) or Google Suite
Effective interpersonal skills and ability to work effectively within a team environment
Experience supporting multiple managers and stakeholders
Strong project management capabilities
Good financial management skills for organizing, planning, and executing within a budget
Knowledge of SAP systems
Problem-solving skills
Ability to perform data analysis
Excellent oral and written communication skills
Ability to handle confidential and proprietary information
Exposure to both indoor and outdoor work environments
Physical ability to walk up to 50% of the workday, bend, stoop, reach, push, pull, and climb stairs
Flexibility to work occasional nights, weekends, or holidays as needed
