Job Description Summary:
The Project Manager will serve as the pre and post award grant manager and will be responsible for the management of a large, complex and active University department. This position works with staff to provide direction in a variety of business-related functions including finance, budget, grant administration and support for human resources-related activities.

Job Description:
Job Duties:
Grant Pre-Award
- Assist the Deputy Director of the Cancer Center and Division Director of Genomic Diagnostics with gathering of required documents for grant submission ensuring that they align with the notice of award while adhering strictly to internal and external deadlines.
- Work with external collaborators as needed to ensure that all documents for sub-awards, either incoming or outgoing, are gathered and entered into mySponsored Projects (mSP) for submission.
Grant Post-Award
- Manage funds of awarded grants by adhering to the spending guidelines for that funding mechanism and associated Notice of Award (NOA). This includes, approving all spending transactions, working with departments to ensure that payroll aligns with effort listed on key and non-key grant personnel, running regular reports on budget to actuals and communicating with the PI on spending status.
- Work closely with sub-award sites to ensure proper legal contracts are executed in a timely manner, spending remains on track and all information is gathered for annual progress reports.
- Manage and maintain metrics on studies for annual reports.
- Ensure that annual progress reports are completed with the collaboration of all involved on the project, responsible for reviewing that format and components align to the requirements of the NOA and submit via the proper channels.
Oversight of the COBRE Grant for the Kansas Institute for Precision Medicine (KIPM)
- Review all applications to NIGMS for Pilot Project Leads (PPLs), Research Project Leads (RPLs) and supplements for accuracy, then enter into mSP and work with SPA to submit.
- Work closely with the KIPM Administrative Director on the solicitation of pilot projects annually. This will include creating timelines and making sure those on the review committee have the available time to review and meet for decision of awards by deadline.
- Work with the departments providing institutional pilot funding to ensure the assignment and utilization of funds.
- Approve all financial transactions for the grant and run regular financial reports for all scientific cores, RPLs and PPLs throughout the grant year to ensure adherence to spend plans and effort.
- Track metrics for all scientific cores, RPLs and PPLs using the PieStar data management system. This includes maintaining accurate information on all grant submissions and approvals, publication, presentations, achievements, awards and promotions for all who have been a part of the COBRE (past and present).
- Assist PIs, scientific cores, RPLs and PPLs with budget management and reporting requirements. Assist PI with obtaining annual matching funds from Kansas Board of Regents and ensuring spending and reporting per NOA.
- Oversee the collection and usage of institutional matching funds annually for full usage.
- Assist KIPM Administrative Director with annual Advisory Committee meetings. Ensuring that all bills are paid and AC Members' travel expenses reimbursement and honorariums are issued.
Finance
- Invoice for services performed by the Biomarker Discovery Lab.
- Work with Control and Reporting on invoices paid via credit card through KanPay.
- Revenue and expense planning of restricted funds in Adaptive.
- Identify funds for outside sponsorships with collaborating groups and events, funds for student tuition, fees and stipends and funds for visa applications.
- Manage and monitor the Director's assigned Kansas University Endowment Association funds.
- Work closely with School of Medicine (SOM) on overall commitments and Director's funding and payroll.
- Understand the entire portfolio of funds, keep the Director updated on available funds and work on a five-year spending plans with specific funds as needed.
- Assist Center for Genomic Services and Health Equity (CGSHE) with annual budget creation and adherence. Assigning and monitoring correct funding sources for the year. Ensure that all bills for services provided are also paid.
HR-Related Activity Support
- Assist Director with recruitment activities by collaborating with HR to determine the position title, draft correctly formatted position descriptions, and execute processes in Workday in accordance with HR posting requirements and approvals.
- Obtain SoM funding approval for position postings.
- Work with new hires to complete all pre-hire tasks.
Management of Executive Assistant
- Oversight and training for Executive Assistant (EA) that helps with many administrative aspects with includes management of Director's calendar and travel.
Other
- Attend all KUMC meetings that relate to Administration, SOM Finance and Sponsored Project Administration. Report necessary information to Director and lab members, and train when needed.
- Assist Biospecimen Repository Core Facility (BRCF) with annual core self-surveys and correlated financial reports for SOM.
- Manage REDCap system that tracks Letters of Support for BRCF, and follow-up for approval of awards.

Required Qualifications
Education:
- Bachelor's degree in business or related field.
Work Experience:
- 3 years of accounting/financial management experience.
- 3 years of experience with grant management.
- 3 years of managing direct reports.
Preferred Qualifications
Education:
- Master's degree in in business or related field
Work Experience:
- 3 years of experience in an academic research environment or working for a top-level executive.
- Experience with KUMC systems such as Workday, QlickCloud, Huron and REDCap.
- Experience with eRA Commons, myNCBI, SciENcv and NIHMS systems.
- Experience with NIH grant mechanisms and requirements, particularly P20s.
Skills
- MS Office skills, including Excel for the purposes of finance management.
- Problem-solving and analytical skills.
- Record-keeping, organization, time management and communication skills.

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
