Overview / Job Summary:
As the Academic Coordinator, you'll oversee and manage support services for Health Sciences programs. This role demands a self-driven individual capable of working independently with a high degree of autonomy. The ideal candidate should possess exceptional organizational skills and thrive in an administrative capacity within a diverse and confidential environment.
Your day-to-day responsibilities will vary, but are not limited to:
Provides administrative support to Health Sciences Program Directors, faculty/adjunct faculty. Performs general clerical duties to include, but not limited to answering telephones, financial record keeping, copying mailing, and filing.
Notifies, opens, sort and distributes incoming correspondence, packages, and mail. Maintains office calendar to coordinate workflow and meetings for Health Sciences.
Sets up and coordinates meetings and conferences for faculty, Industry Advocate Team meetings, and department meetings, providing minutes when necessary. Maintain Health Sciences IAT member list on SharePoint. Develops, implements, creates, manages, reviews, and summarizes miscellaneous reports and documents using software such as Microsoft Office, Word, Excel, PowerPoint, Publisher, SharePoint and Outlook.
Maintains spreadsheets of program budgets and all purchase agreements. Processing PO's and invoices for all programs, Communicates with Program Directors, Dean of Health Sciences, and VP of Health Sciences and Grants Management regarding their budgets and keeping them updated on balances they have on all purchase agreements.
Coordinate with program directors on inventory of supplies for all Health Science Programs. Manages all VISA expenses for Health Sciences directors, Dean and Vice President.
Manages all purchasing processes for the Health Science programs, working with Program Directors on supplies needed for each semester. Maintains program accreditation/certification files and communication. Coordinate with program directors arranging site visits as needed per each program.
Coordinate to reserve conference rooms and lecture hall at South Campus for staff, faculty Dean, and Vice President. Coordinates hazardous waste pick for programs at South.
Coordinates laundry pick up for Health Science Programs as needed. Assists directors and Dean of Health Sciences with initiating FLAC payroll agreements. Collaborate with Program Directors, Dean and Perkins coordinator regarding all Perkins approved purchases. Coordinate with program directors to work within WIDS on program updates.
Coordinate with program directors for yearlong schedules, to build schedules in Banner continuous monitoring, updating and making changes as needed. Coordinate with Operations Coordinator to assist with scrubs for Health Science Programs. Coordinate with the business partner for accuracy, budget information or questions Coordinate with facilities at South campus to ensure lecture hall is set up for Health Sciences events.
Performs other duties as assigned by the Dean of Health Sciences and Vice President of Health Sciences and Grants Management. Bachelor’s degree preferred.
Required/Preferred Experience & Skills:
Minimum of five years of administrative experience, preferably within higher education. Exceptional written and verbal communication skills. Strong analytical, decision-making, and problem-solving abilities. Proficiency in operating various office equipment and advanced computer applications, including Outlook, Word & Excel. Outstanding customer service skills with the ability to multitask and prioritize tasks efficiently.
