Job Description:

55% – Project Support

+ Supports PMC project coordination to ensure projects are delivered on time, within the project budget, and with the best odds of achieving objectives as outlined by the Director and Associate director

+ Maintains comprehensive project tracking systems to monitor and report project progress.

+ Collaborates with internal and external stakeholders to assist in the completion of PMC assigned project.

+ Creates project deliverables: Outsourced printing, graphic design, document compiling, and binding activities; invoicing clients; payment processing; certificate generation; learning management system adjustments; Facility management; catering services; assessment activities; etc

+ Disseminate information proactively to internal and/or external stakeholders.

+ Utilizes PMC technology – HubSpot, Enrole, Touchnet, MS Office, etc.

+ Thinks adaptively and within a solution-orientated mindset to solve issues in collaboration with PMC staff.

+ Provides on-site support for PMC in-person and online events as identified through PMC strategic priorities.

+ On site assistance may include but is not limited to, tech support, check in support, notetaking.

+ On site assistance may fall outside of normal business hours (M-F 8 to 5).

+ Assists Communications Coordinator and Project Coordinators as needed in the execution of PMC events such as graduation ceremonies, conferences, lecture series, etc.

40% – Financial Transaction Processing

+ Process, monitor, and evaluate daily financial transactions following university policy and procedures.

+ Prepare deposits, pay contract employees, and assist in tracking program-related financial revenue & expenditures.

+ Performs contracting services including coordination with KU General Counsel, completion of fee-for-service master agreements, and routing through the signature process.

+ Completes monthly Accounts Receivable report and provide to supervisor for review.

+ Monitors financial transactions for proper coding and timely payment.

5% – Professional Development

+ Engages in professional development for skills related to the position.

Required Qualifications:

1. Bachelor’s degree (by the time of appointment) in a public service-related field plus one year of related experience in project management, project coordination, project execution, project implementation, or comparable executable activities as outlined in application materials. OR, Associate degree (by the time of appointment) in public service-related field plus three years of related experience in project management, project coordination, project execution, project implementation, or comparable executable activities as outlined in application materials.

2. Demonstrated experience working collaboratively in a team setting as evidenced by application materials.

3. Strong written communication skills, as evidenced by application materials.

Preferred Qualifications:

1. Six months of experience using CRM software systems such as HubSpot, Salesforce, or Slate.

2. Six months of experience with a registration software system such as Enrole, Eventbrite, or Whova.

3. Six months of experience with Public Management Center programs, as evidenced by application materials.

Position Overview:

As the professional development arm of the School of Public Affairs & Administration(SPAA), the Public Management Center (PMC) offers professional education and consulting services focused on skills enhancement for leaders, managers, staff, and teams to support organizational development in public agencies across Kansas and Missouri. We are an entrepreneurial center: 90% of our budget comes from revenue from our professional education programs, consulting services, and conferences.

The PMC is the home of the Heartland Certified Public Manager® Program (CPM), one of the most active CPM programs in the United States. Our other programs include the Emerging Leaders Academy (ELA); and Supervisory Leadership Training (SLT). Our consulting services support government agencies and other public service entities in the Kansas City region and across Kansas and Missouri; these services include strategic planning, public engagement and facilitation, customized training, and team building.

The Project Specialist supports the delivery and execution of the PMC’s professional education & consulting efforts that includes utilizing a project-based system for new initiatives and existing program offerings. These efforts maximize enrollment, streamline operations, and support yearly key performance indicators. This position operates across the implementation, execution, and completion stages of projects. The Project Specialist may work with the Director, Associate Director, Educational Program Managers, Project Coordinators, and Communications Coordinator.
