Position Summary / Career Interest:The Administrative Assistant to Ambulatory provides high-level administrative support for departments and clinics. They support management and physicians in the assigned area in a variety of administrative task such as scheduling, CME balance tracking, payroll assistance and gathering data and preparing reports. Leads the administrative functions of assigned areas.
Responsibilities:
Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
Assists in daily operations of the office.
Subject matter expert and leads the administrative efforts of the department/clinic.
Schedule meetings
Coordinates travel arrangements
Coordinates credentialing/licensing
Submits expenses (Workday)
Documents provider effort distribution (cFTE database, QGenda)
Enters timekeeping (Kronos)
Prepares manuscripts
Prepares and edits memorandums, emails, etc.
Answers (nonclinical) telephone calls and provides communications
Transcription
Event planning and coordination
Prepares, proofs, edits, and collates reports
Uses filing systemfor historical documentation and personnel transitions
JOB REQUIREMENTS
Required:
High School Diploma is required.
Two years operational experience in the department or specialty line.
Read, write and speak English
Ability to speak and understand English
Proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Access required
Preferred:
Bachelor's degree or Technical/Professional training/degree in Business School
Experience in Healthcare is preferred.
