Under immediate supervision of the 12th Street Community Center Manager, 12th Street Administrative Assistant is responsible for assisting in researching, developing, implementing, planning, coordinating, and conducting educational, social and recreational programs available for the community. This position is also responsible for performing a variety of clerical duties including: data entry of accounts payable, purchase orders, employee time entry and requests for leave. Researches and procures various supplies for 12th Street Community Center operations. Develops and maintains various financial and statistical reports.
Performs the daily 12th Street Community Center clerical operations.
Accurately inputs all accounts payable transactions in the INCODE system.
Enters employee time sheets on an Excel spreadsheet and in the INCODE system for manager approval.
Researches and procures supplies using best purchasing practices to ensure the most efficient use of department funds.
Collects and edits financial and statistical data from 12th Street Community Center for reporting purposes.
Enters reservations, creates memberships and record classes and registrations using CivicRec software.
Enters work orders using FACILITY DUDE maintenance software.
Drafts written responses to the general public and City employees.
Greets the public in person and by telephone providing customer assistance and help reserving facilities.
Other duties as assigned.
High School Diploma or GED equivalent required.
Associated degree and two years secretarial experience or the equivalent combination of education and experience preferred.
Strong computer skills including proficiency in Microsoft Word and Excel.
Strong verbal and written communication skills.
Ability to work under time constraints to ensure deadlines are met.
Must occasionally lift and or move up to 20 pounds.
Must be able to speak and understand the English language. *
Must be able to reach for and handle objects.
